BDA Administrator – Derby Office

Salary: £21,500
35 hours a week

Accountable to: Senior Community Development Manager

The Work

The BDA is a membership organisation currently providing local support to Deaf people through empowerment and advocacy in Scotland, Northern Ireland, Wales and England.  The aim is community advocacy, community empowerment, and the development of local campaigns to ensure that local public service providers carry out BSL Charter pledges. We also campaign towards full equality for Deaf people.

Main Duties and Responsibilities

Office Administration

Providing general administrative support for the Deaf Roots and Pride Project (DRP) and also additional support to the Derby Office under the direction of the Senior Community Development Manager (SCDM), including:

  • Liaise with the Administration Team in London to ensure the smooth running of the office throughout office hours
  • Supporting the DRP Manager in administrative functions including recruitment, record-keeping and booking travel arrangements
  • Supporting the Officers in the Derby office by booking Sign Language interpreters
  • Making phone calls when appropriate for the SCDM and the DRP Manager
  • Administering Health and Safety in the Derby Office
  • Fire Marshalling & First Aid in the Derby Office
  • Promoting the BDA at every opportunity and in particular the DRP project
  • Maintaining a clean, tidy, comfortable and hazard free office.

Record Keeping

  • Maintain data protection in accordance with London Head Office procedures
  • Ensure paper and electronic filing systems are fully maintained and accessible
  • General filing for the officers in the Derby Office.


Support the London Head Office financial procedures by:

  • Support the SCDM and the DRP Manager with the reconciliation of their credit cards, ensuring all paperwork is filed and payments recorded for the monthly credit card reconciliation.
  • Ensure all paperwork relevant to the DRP project – especially the  Mentors timesheets for payroll
  • Ensuring all payments are coded correctly and approved by the relevant manager

Networking and Developing Relationships

Develop and expand current and new relationships and networks to maximise opportunities to build and grow the membership and participation with the BDA:

  • In conjunction with the admin team in the London Head Office promote the interests of the BDA at every opportunity by seeking to increase contacts, members and friends of the BDA
  • Use every opportunity to increase participation in the BDA through callers to the office via telephone, email, visits or at events and activities
  • Support other staff in the Derby Office to develop wider relationships and networks

Person Specification

Skills / Experience

The candidate will have basic financial experience; have experience of working in a small to medium sized company, preferably a national charity.  The successful candidate would be expected to be able to present information in a concise and effective way to the SCDM and the Head Office Manager.


  • Ability to work on own initiative, identify and resolve problems and work to strict deadlines
  • Confidence in dealing with managers, colleagues and external staff
  • Ability to maintain accurate records
  • Maintaining confidentiality
  • Understanding of charity accounting systems
  • Ability to explain financial matters clearly verbally and in writing
  • Excellent numeracy skills
  • Accurate keying skills
  • IT Skills: MS Office Suite, Word, Excel, PowerPoint and Access, Outlook


  • Understanding and knowledge of the Deaf community
  • Experience of working in the charity sector in a national charity
  • Ability to work on own initiative, identify and resolve problems and work to strict deadlines

Knowledge / Qualifications

The successful candidate will be required to undertake an enhanced DBS check.


  • Business administration / Secretarial equivalent
  • GCSE English
  • Commitment to improving their BSL skills


  • British Sign Language Level 2
  • Understanding of the Deaf community and Deaf issues

Other requirements

The successful candidate will be required to:

  • Work occasional flexible hours including evenings and weekends
  • Travel away from home occasionally for organisational meetings.
